The Opportunity

The Campbell River Art Gallery is currently seeking to hire an Operations Manager to join our team.

You will be joining a team of enthusiastic and passionate individuals who work closely together in a supported environment. This position is ideal for a detail-oriented, motivated individual with proven experience in administration, working with the public, and interpersonal skills.

The Operations Manager is a vital member of the management team and is responsible for a wide variety of administrative duties, many of which are confidential. This position provides overall support throughout the organization and oversees the smooth operations of the Campbell River Art Gallery.

Key Responsibilities 

Reporting to the Executive Director, the Operations Manager will be responsible for:

Administration

  • Administration and financial support at an Executive level.
  • Developing and/or maintaining all financial, personnel, policy and organizational files with efficient record management systems and office procedures.
  • Drafting and preparing agendas, minutes, correspondence, reports and documents for the Executive Director and management.
  • Ensuring corporate sponsorships and individual donations are processed, including the preparation of donation thank-you letters and charitable tax receipts, and that they are properly documented in a timely manner.
  • Assisting with the recruitment and on-boarding of new personnel including maintaining personnel files.
  • Oversees the management of day-to-day operations of all office equipment and supplies, including establishing new procedures when required.
  • Collaborates with bookkeeper to coordinate financial tasks such as payroll, invoicing, supplier payments, basic bookkeeping, banking deposits, bill processing, etc; 
  • Works with the Executive Director and bookkeeping team to facilitate the yearly financial audit.
  • Works with the Gallery Shop Manager supporting financial documentation and payments.
  • Assists with onboarding, mentoring, and training junior staff, interns, and summer students.
  • Ready to complete work on-site and in person.
  • Other tasks as required.

Board Support

  • Assists Committee Chairs in scheduling meetings, preparing agendas, and any necessary follow-up items as directed by the Executive Director.

Visitor Services

  • Ensures facilities are well maintained and in good working order, in collaboration with partners and service providers.
  • Ensures events comply with all communicable disease protocols, guidelines and regulations, including compliance with provincial public health orders;
  • Oversees facility rentals, ensuring administrative requirements such as invoicing and contracts are up to date and that the physical spaces are ready for groups;
  • Supports all CRAG events, including arranging liquor licenses, arranging food and beverage, event set-up, equipment rentals, registration and ticketing;

 

Qualifications

Essential Skills

  • Ability to process sensitive information in a timely and accurate manner.
  • Excellent written and verbal communication skills.
  • Ability to complete assignments with attention to detail and with minimal supervision.
  • Ability to work within deadlines and to prioritize workload.
  • Advanced computer and Microsoft Office Suite and Google Workspace skills.
  • Ability to establish and maintain effective long-term relationships.
  • Comprehension of Cultural Humility and Safety.

Education/Training

  • High School diploma and completion of additional certification/diploma in office administration preferred.
  • At least 3 years of related experience in administration, payroll management, and financials.
  • Experience with registered charities and non-profit organizations.
  • Knowledge of appropriate software including QBO, Google Drive, iOS
  • Interest and knowledge of contemporary art is an asset.
